This article shows publisher teams how to add new article references and new assets through Engraffo

When we refer to an article in Engraffo, we're referring to an article reference (meta data) and not the actual article file (PDF). Each Engraffo Project will reference (at least) one article, and assets (flipbooks, videos, etc.) associated with articles can be added to Projects. The actual article files are used to create both flipbook and HTML article assets.

Adding a New Article to Engraffo

To add a new article reference, click on the Articles menu option on the left side of the application and then click the New Article button in the upper right corner. This will prompt the ‘Add a New Article’ modal to open. First, you will want to add citation details. There are two ways to complete this task:

  • DOI or PubMed ID: you can enter the DOI number or PubMed ID to automatically import citation details when available

  • Manual entry: you can enter in citation details manually

The article abstract will autofill into the text editor below the citation details. You can modify or edit this information, as necessary. We do not recommend editing the citation details; however, you may choose to stylize the abstract information in the text editor in a way that benefits the reading experience. An example of this action would include adding bold text or line breaks to the abstract headers (ex. Background, Methods, Results).

Once saved, your article will be added to your Articles library and become available for addition to projects. You can also add additional assets to this article (see below).


Articles with Publication Date Versions

Occasionally, you may need to add multiple versions of the same article to the Articles library. For example, you may have added an ‘online first’ version of an article and then subsequently need to work with the issue-assigned version. Both versions will reference the same PubMed ID. There are two ways to manage both versions of the same article:

  • Add separate article assets (i.e. flipbooks) to the same article entry

  • Create separate article entries for both versions, each with their respective assets

The first option is to upload both versions of the article PDF as assets (ex. flipbook) to the same article entry and distinguish them by name. The second option is to add a new article entry altogether and edit the article meta data to distinguish the two versions. The benefit of the latter option is that you can maintain separate article statistics on each version.


Adding Article Assets to Existing Articles

To add a new asset to an existing article, simply navigate to that article through the Articles library. Click on the Add New Asset button in the top right corner of the page. This will prompt the ‘Add Asset’ dialogue box to appear.

First, you will need to choose Asset Type:

  • Flipbook Article – this mirrors the traditional reading experience

  • HTML Article – this option will convert a PDF to an HTML article

  • Abstract / Summary

  • Audio

  • Video

  • Image

  • iFrame

  • Infographic

Depending on your selection, you will then be prompted to supply naming and descriptions to various input fields. Finally, there is an upload option to support your respective file type. Clicking Save will complete the addition of your new asset.

You can add multiple assets and multiple asset types to any given article, as well as edit meta data and other properties specific to each asset.
